Camping at Dewsall Court

We are pleased to offer camping as a little extra to your stay at Dewsall, perfect if you have a few extra guests who you would like to include in your wedding weekend.

These guidelines are in place to ensure that they experience camping the Dewsall way.

We can accommodate up to 10 tents (based on 2 sharing, a maximum of 20 guests) for the evening of your wedding, only.

Dewsall charges a ground rent fee for this and additional facilities that are needed must also be hired.

We will provide breakfast for your guests in the house, this will be included as a per person charge on your catering invoice. If you wish to add your campers to any other meals this can be arranged. Your event manager will happily discuss details with you!

Campers, please observe the following…

  • Please use designated toilets. There will be no access to facilities in the house. Be aware there is no access to drinking water in the paddock
  • Only tents sourced by Dewsall can be pitched
  • No Fires
  • No Animals
  • Please take ALL rubbish away with you and leave the site as you found it
  • Please do not damage the natural environment or disturb the local flora and faun
  • Please considerate of our lovely neighbours with noise levels. No amplified music
  • Children MUST be supervised always – especially near the lake
  • NO swimming in the pond – to do so is entirely at your own risk
  • Dewsall shall not be liable for any damage or injury caused or for any loss or damage to personal belongings how so ever arising
  • Dewsall reserves the right to evict anyone not adhering to these rules. Any contravention of these rules could affect return of the tenants’ damages deposit.

FAQ's

Do you have a license to consume alcohol? Can we supply our own and is there a corkage fee?

Yes, of course we have the right licenses to serve and for you to consume alcohol. We have an excellent and varied wine and drinks list and the majority of our products can be purchased on a sale or return basis. We also run a fully stocked bar for your event in our Wainhouse barn. You do have the option of bringing your own alcohol, but we do charge a corkage fee per bottle for any alcohol brought onto the premises, throughout your stay. Wines £10, Fizz £12, Champagne £15, Beers £2.50, Spirits £25 per standard 70cl bottle.

How will corkage be charged and recorded?

Corkage should be confirmed during your final meeting with your Event Manager and will be paid for 2 weeks prior to your event, along with your catering invoice. Your alcohol will be checked in and out and you will be refunded for any unopen bottles.

How late can the bar and music go on for and when must guests depart?

In the Wainhouse barn, we stop serving alcohol at 11.45 pm. Live music must end at 11pm with any recorded music / DJ finishing at 12 midnight. We recommend you say on your invites that guests book their transport home for midnight. However, we do have an in-house after party den where you can carry on the late-night celebrations with house guests and 8 offsite guests (house cellar maximum capacity = 27 guests). There is a £100 hire charge which includes a sound system, disco lighting and a dry hire bar - which you can stock yourself and
pay corkage or pre-arrange for Dewsall to stock this for you.

Are bands and live music permitted?

Absolutely! We can suggest some fantastic bands and DJ’s. Whatever your choice it is essential that our Funktion 1 sound system is used. Your band or DJ will have the opportunity to contact our sound engineer should they have any questions regarding our in-house system. We will be monitoring sound levels at every event to ensure this coincides with our maximum 95Db sound restriction. Please check your band or DJ has public liability insurance before confirming your booking with them.

Do you allow fireworks or Chinese lanterns?

Due to the surrounding farmland and livestock we do not permit fireworks or Chinese lanterns, on any day other than New Years Eve, Bonfire night and the nearest Saturday to the 5th November. We do allow sparklers on site, which can be a really special moment for you and all of your guests. We also have a fire pit which is surrounded by benches and contacts for fire dancers and a fire heart should you want something really magnificent.

Are there any restrictions on flowers, decorations or candles?

We recommend you contact a florist from our suppliers list as they know the venue so well and can help design decorations that work perfectly with the house and Wainhouse barn. All suppliers
to Dewsall must be covered with public liability insurance and only professional florists with this cover will be permitted to dress the high beams. If using a florist not recommended by Dewsall, they must follow Dewsall guidelines and confirm plans with your Event Manager. We do allow candles in the Wainhouse, but candles or additional flowers in the house are only allowed in permitted areas for safety reasons and to protect the antique furniture.

Taxis

We can provide you with our recommended taxi, chauffeur or mini bus companies who are professional and reliable so please get your guests to pre-book their transport ahead – this is advisable due to our out of town location.

Do you provide high chairs/irons/robes and other amenities?

We endeavour to provide everything you need and can supply up to four high chairs if requested. Irons and ironing boards can be found conveniently in certain rooms of the house. Each room is stocked with towels, robes and 100 Acres aromatic bath products (we ask that you do not take our refillable bottles home!).

Do you ave WiFi?

We have fiber optic wireless broadband in both the house and Wainhouse.

Do you offer a tasting?

We do indeed! You will be invited to attend one of our tasting events where you will have the opportunity to sample our delicious foods, dependent on the season of your wedding date.

What’s included within the house hire cost?

For a Friday to Sunday wedding booking, your 20 house guests can enjoy a delicious 2 course arrival night supper, a continental breakfast, light lunch on the day of the wedding and cooked breakfast on the day of your departure. If you have booked a different variation from the two night stay, we will advise what is included. All details can be found on our Complimentary document – please ask your Event Manager for this.

Legally marrying in the local church – is it allowed and how do we arrange it?

We can offer a full church wedding or a church blessing in the beautiful Dewsall Church, St. Michael & All Angels, just at the bottom of our garden. If you wish to have a full church wedding
ceremony, we can put you in contact with the local team ministry who can talk you through what is needed to qualify in our parish, and the minimum 8 month requirement. If you cannot commit to
attending 6x monthly services, a church blessing is a fantastic alternative and we can put you in touch with our local registrars to arrange the legal signing.

What is your payment schedule?

To secure your booking at Dewsall, we require 25% of the venue hire as a non-refundable booking deposit, followed by 25% 12 weeks later and the final 50% of venue hire 12 weeks prior to your check in. We ask for your final numbers to be submitted four weeks before your event so that orders can be placed and an accurate bill for catering and extra services can be calculated. Your catering invoice is due two weeks before your check in, along with a cautionary damages deposit of £1000 or £1500 if hiring the after party den (fully refundable as long as no damage occurs).

Do you allow confetti and balloons?

We have our own special blend of confetti - natural dried petals in varied colours which can be ordered through your Event Manager. NO paper confetti (even biodegradable), ONLY natural petal – please make your guests are aware of this. We do not allow balloons at Dewsall in consideration of the extensive wildlife.

Do we need to make any signs for the lanes towards Dewsall?

We have marked the turn with our ‘Dewsall’ sign so please ask your guests to look out for this. Directions can be found online and most sat-navs will find us. We recommend you include a map with your invitations too. We are more than happy for you to display personalised wedding signs on Dewsall land only but to preserve our rural hideaway we do not allow any signage to be put on the lane or in the local village. Please ask your Event Manager for the prime display spots at Dewsall.

Is there any info that we should add to our invitations other than the above?

Typically, we advise invites are sent out 12 weeks before your event so that your RSVPs can be counted for our final numbers deadline of 6 weeks before (just in time for your final planning
meeting and those last minute tweaks!). Please, please ask your guests for any dietary requirements or allergies – it is vital we have this information for the kitchen 4 weeks prior to the
day. Advise them about taxis and directions and be sure to let them know that only natural petal confetti is allowed.

How many bedrooms do you have? What is the max number of guests? Do you have floor plans?

We have 10 double bedrooms (11 if the Dewsall Suite Sitting Room is converted into a small double) but we can sleep a maximum of 27 guests if additional single beds are hired. Your Event Manager will send you details of where the additional beds and cots can go and the additional charges if you require them. We do not permit ‘camp beds’ due to fire regulations. Floor plans can be downloaded from our website.

Do you have a car parking area?

We do! House residents are welcome to park in the car park next to our Wainhouse barn. All offsite guests can park on the grass parking area, signposted to the right hand side of the drive. Please note that although we ask for your guests to park in designated areas, elderly, pregnant or those with mobile restrictions can of course be dropped off and picked up at the house or Wainhouse.

Please ask your guests to car share or taxi as much as possible to limit traffic on the lane and keep things clear on the day (we love it when the area within the Dewsall gates can be car free especially on the day!). Please note parking on the grass is NOT permitted anywhere at Dewsall, other than the designated parking area.

Children – how many do you allow? Do they have to be supervised?

Up to four children between the ages of 18 months and ten years are allowed to stay in the house and are counted amongst the number of house guests. Children MUST be supervised at ALL times, including other children attending on the day of your wedding.

You may wish to hire a babysitter, nanny or wedding crèche service to help out during your event. We would always recommend that a fully licensed and insured child minding agency is engaged by you to look after children when at Dewsall.

Do you have smoking areas?

Smoking and vaping are not permitted inside the house or Wainhouse, but guests may smoke in designated areas outside.

Can we have a civil ceremony anywhere outside?

You can marry in several areas outside at Dewsall. We have a stunning canopy available for hire from April to September with a beautiful view at every corner and yurts available for the cooler months. In the case of inclement weather, we have a contingency plan in place that must be called no later than 4 days prior to your event to save you the cost of the canopy set up.

Do you allow self-catering or outside caterers?

All catering is in-house at Dewsall. We are big foodies and have a fabulous team of chefs to help create the perfect menus throughout your stay. Please contact us about specialist cuisines.

Do you cater for dietary requirements?

Yes, we endeavour to cater for any and all dietary requirements – PLEASE MAKE SURE WE KNOW IN ADVANCE.

Can I ask guests for a contribution towards the accommodation?

It’s a rare treat to be invited to a wedding and be given accommodation for one night, let alone two. Ask your Event Manager who can advise on a fair contribution based on what we charge.

What time can we check in?

Check in and check out times for a Friday to Sunday wedding booking would usually run from 1pm to 1pm.

Can you supply our wedding cake too?

Yes – we can put you in contact with an amazing pâtissière who previously worked in a Michelin Star restaurant. She is very talented and is happy to advise and discuss your ideas. A choice of cake knife is included within your hire and we have all sorts of cake stands available for hire too.

    Unravel the art of pasta making with Jonny Evans, our very own Dewsall Head Chef. Although Jonny has had a vast amount of experience – here are few interesting facts – Jonny ran the pasta section for Jamie Oliver at his Monty's restaurant before being poached by Oliver Peyton (Great British Menu). Jonny also did some TV work as chef consultant on Raymond Blanc's The Resturant and appeared in Channel 5's Street Market Chef.

    Create your own chocolates with Jacqueline from La Fleur de Chocolat. Jacqueline was a former pâtissière in a Michelin starred restaurant before starting her own chocolate business – she creates wonderful indulgent flavour combinations.

    Artisan bread making with our Dewsall resident head chef Jonny Evans – Jonny made bread with the much loved late Linda Bellingham in the Dewsall kitchen.

Civil Marriage Ceremonies in Herefordshire

We are delighted that you have chosen to hold your wedding in Herefordshire and look forward to helping to make your day a happy and enjoyable occasion.

What happens next?

When you have chosen the date for your ceremony you need to contact our Superintendent Registrar in Hereford to ensure that a Registrar is available to attend. (Telephone 01432 383261). We will take your details and make a provisional booking until you are able to give formal notice of marriage.

It is best to book your ceremony as far in advance as possible, as popular dates and times are quickly booked up.

Giving Notice of Marriage
Before you can marry, there are certain legal formalities that need to be observed. The main requirement is for a couple to give notice to the Superintendent Registrar in the district where they live.

Giving ‘notice’ means making a legal declaration that you are both free to marry each other, and will require you to provide certain documents. You may do this up to one year before the date of your wedding, and must be done in person. You will each be required to give an individual notice. If you live in the same district, then notice can be given in the same office, but if you live in different districts, you will be required to give notice in the district where you live. You must be resident in the district for the preceding seven days.

After giving notice you must wait a further 28 clear days before the marriage can take place.

You can give notice of a marriage up to 12 months in advance of your chosen date.

My partner is not British
People subject to UK immigration can only give notice at certain designated offices. Before they can give notice they will also have to either obtain a special visa in their passport before arrival in the UK or have a right of abode in the UK. The Home Office may in some cases extend the waiting period after giving notice from 28 days to 70 days.

What will I need to take with me when I give notice?

Each of you should take:

  • Passport
  • Proof of your present address – driving licence, recent utility bill or council tax bill
  • If a previous marriage / civil partnership has been dissolved – decree absolute, dissolution document or death certificate of spouse/partner
  • Name change (eg. change of name deed).

Dewsall Court Sound and Music Guidelines

Our Guidelines are in place to ensure you are fully aware of the Dewsall requirements for sound and entertainment services. Please read all of the information provided on our sound restriction and advice. We ask that you sign, date and send back to us, confirming your understanding and acceptance of these guidelines. On return of this document, please send a copy of your Public Liability Insurance. This is required in accordance with our insurance and both documents must be sent prior to your attendance at Dewsall.

Dewsall operates a sensible sound level policy for the comfort of staff, guests and neighbours.

The maximum level allowed within the dance floor area is 95dba and is regulated by staff monitoring and an in-house sound system.

The in-house sound system comprises of compact, high quality Funktion One units to include…
1x Bass unit
2x Satellite units on stands
1x 4 channel Slave Amplifier
1x Pre-set electronic limiter

All sound and entertainment services performing in our Wainhouse barn are required to use this system.

You will need to provide your own mixer and any other necessary equipment. Inputs to our in-house system are via two XLR to XLR cables (supplied). It is your responsibility to plug in and ensure all equipment is set up correctly.

We can also supply 4x wireless in ear monitors.

Live music must finish at 11:00pm.

Amplified, pre-recorded music must finish at 12:00am.

Please always take notice of the Event Manager or Catering Manager on sound issues and finishing times.

You must, at all times, be situated within our purpose built, soundproof dancefloor.

At NO point are you permitted to play outside the Wainhouse building.

Please coordinate arrival, set up and sound checks with the Dewsall Event Manager. You will be contacted within the two weeks leading up to the event to confirm timings and logistics.

On arrival please meet the Event Manager outside the office, the first building on the left after the second cattle grid, before driving up to the Wainhouse barn.

Please always check with the Event Manager where to park your vehicle. This is very important as parking is limited and disabled access will always take priority. If there is no space outside the venue, please arrange with the Event Manager to drop off equipment and then park. We will do our best to save a couple of spaces as close as possible for you but please wait for the Event Manager to direct you. Do not park or drive on the grass areas inside the gates of Dewsall. In the winter, please also be aware of the glare from your vehicle headlights on the glazed windows of the barn as you approach.

Please be as quiet as possible during offload/set up as speeches are likely to be happening in the main room of the Wainhouse.

If you have been allocated a meal by the client it will be brought to you in the stage/dance floor area of the Wainhouse, either before your performance or during the band break, dependent on arrangements made by the client.

Please be aware there are no official changing facilities other than the disabled loo in the Wainhouse and the house is for guests only.

If performing in the house the above will still apply. Only acoustic music can be played outside during the day with all amplified music to be played in the house conservatory. You will be expected to provide all of your own equipment for a performance in the house. Please be very careful with the house furnishings and liaise with the Event Manager.

Dewsall Court Supplier Guidelines

These guidelines are in place to ensure you are fully aware of the logistics for our events and how we do things, here at Dewsall. Some of these guidelines will apply to your services, some will not, but we appreciate your time reading this and ask that you sign, date and send back (a scan or a photograph of the signed document is fine) to confirm your understanding and acceptance of these guidelines.

On return of this document please send a copy of your Public Liability Insurance, as required in accordance with our insurance. Both documents must be sent prior to your attendance at Dewsall.

We request that you always liaise with the Dewsall Event Manager in charge throughout the planning process and during the event.

Arrival at Dewsall Court

You will be contacted within the two weeks leading up to the event to confirm timings and logistics. Please ensure that you have confirmed your arrival time and plans for set up with the Event Manager. It is vital that this is confirmed prior to the event.
Wedding Cake Makers: Please provide a full breakdown of cake ingredients for dietary requirements and allergen advice.
Please always check with the Event Manager where to park your vehicle. This is very important as parking is limited and disabled access will always take priority. If there is no space directly outside the venue or your vehicle is at risk of being in the way of the event proceedings, please arrange with the Event Manager to drop off equipment and park where advised. Do not park or drive on the grass areas inside the gates of Dewsall.
Florists: Please consult us beforehand about any decoration in the church or at Dewsall (in particular the house). If you are dressing the beams or chandeliers in the Wainhouse barn you will be required to set up the day before the wedding. Due to our insurance, ONLY professional florists with public liability cover will be permitted to dress the beams.

Final touches:

Once you have completed your set up please ensure the area you have been working in is left as you had found it. Any mess or clutter must be cleaned by you.
Florists: Any containers, boxes, extra foliage etc must be cleared. DO NOT dump outside the barn.
Please make sure you are onsite on the day of the event to manoeuvre any decorative items from the church/ceremony space to the Wainhouse barn.

Refreshments:

On some occasions your client may have allocated you a meal. We ask that you do not eat in any areas inhabited by guests on the day. Your hot meal in the afternoon/evening will be served to you in the stage/dance floor area of the Wainhouse barn, once all guests have been served.
In all other cases, please bring your own flask with refreshments and food as Dewsall is not a hotel with a full time kitchen.

Take Down:

Please ensure that you have confirmed take down/collection of all decorations/equipment with the Event Manager. This must all be removed the day after the event/wedding, unless you have made arrangements for Dewsall to do this at an extra charge.
Glamping: Please take down tents within 24 hours after the event/wedding (usually 1pm on a Thursday or Sunday unless informed otherwise).

You are responsible for your own belongings and valuables so when items are not in use, please lock them away in your vehicle for security. Dewsall is not responsible for any missing or damaged equipment.
Family/Friend Florists: Please be aware of ALL of the above, with no exception.

Set Up:

All guests are able to check in at 1pm, the day prior to their event/wedding (this may vary on some occasions so please confirm with the Event Manager)
Glamping: Please do not drive vehicles directly onto the field, especially if the ground is wet.
Set up in the Wainhouse will be completed by Dewsall staff at 1pm on the check in/set up day.
Florists: We ask you to arrive in the morning of the check in / set up day so that you are able to set up without disruption and we can work around you to lay up tables before the guest’s arrival at 1pm. Once the customer has checked in, they will need access to the barn to apply their finishing touches. Please get timings from the Event Manager in charge. If these timings
are not kept to it can cause a knock-on effect throughout the set up.
Please do not move anything in the church without permission, never take the church key without signing it in and out and check with the Event Manager about church and house flowers – there are restrictions and any damages from floral arrangements etc will be charged for.
If you are arriving on the day of the event/wedding, timings are critical so please ensure you have spoken and confirmed this with the Event Manager.
Wedding Cake Makers: Please let us know in advance if the wedding cake needs to be stored in a refrigerated area.

Equipment:

We expect you to bring all of the necessary equipment required to complete your service.
Florists: This includes ladders, buckets, a broom, bin bags, cleaning products, scissors, string etc. We will provide water only.
Hair/Makeup: Please bring your own folding table to put everything on or if using Dewsall furniture please make sure you bring a suitable thick heat resistant covering to protect surfaces.
Please bring a sheet or similar to protect carpets, rugs and upholstery.
NEVER put hot appliances on Dewsall furniture, carpets and upholstery - the cost of French polishing and repairing is hugely expensive and has had to be charged to Hair and Makeup Artists on several occasions so please do be careful.

On the day:

We ask that you respect the level of service we provide our clients here at Dewsall.
Any questions you have please direct to the Event Manager who will be onsite throughout the day.
Please be aware of the wedding timings and consult ahead with the Event Manager who is in charge. Delaying the couple even ten minutes can have a serious knock on effect throughout the day, particularly in regard to food service.

Photographers/Videographers: The Event Manager in charge will run through the schedule and timings for the day when you arrive. They will touch base with you throughout the day to inform you of any particular moments or movement of guests.

Do not enter our industrial kitchens (in the house and Wainhouse) in any instance.
Photographers/Videographers: Please do not hang shoes and clothing on the picture frames or place anything on the billiard table. Please also do not move any objects or furniture around without permission as sadly this is when damages occur and damage must be paid for.
